SalesThumb's data export policy: your data is yours, you can get it any time, in usable formats, without questions.
This article documents how to export everything — for backups, for auditors, for switching platforms (we hope you don't, but if you do, we make it easy), or for any other reason.
What you can export
- Customers + vehicles: CSV with full customer profiles, vehicle history, contact info.
- Invoices + quotes: CSV of all invoice and quote records with line items, totals, tax, payment status.
- Photos: ZIP archive organized by job, with original filenames and timestamps preserved.
- Warranty records: CSV with install dates, film/coating brand + lot, customer + vehicle linkage, warranty period.
- Customer messages (SMS + email): CSV with timestamped message history per customer.
- Inventory records: CSV of all inventory items, current stock levels, transaction history.
- Reports: PDF exports of any standard or custom report.
- Audit log: CSV of every change made to the shop (who, what, when) for compliance use.
All exports include the original timestamps and identifying IDs so the data is portable to any other system.
How to export
Settings → Data Export. Choose which data type(s) and click "Generate Export". For small datasets the export is ready immediately. For large datasets (50k+ customers, multi-year history) the export runs in the background and we email you the download link within 30 minutes.
For convenience, the "Full Shop Export" option exports everything in one ZIP. Most shops download this monthly as an off-site backup.
Schedule automatic exports
If you want recurring backups without manual export each time:
1. Settings → Data Export → Automatic Backups 2. Choose frequency (weekly, monthly, quarterly) 3. Choose destination: - Email to a specified address (encrypted) - Upload to S3 / GCS / Azure Blob (with your credentials) - Upload to Dropbox / Google Drive (OAuth) 4. Save
Automatic backups run at 3 AM your time zone. You'll get a confirmation email when each one completes.
Export formats
We use the most portable, widely-supported formats:
- CSV (UTF-8) for tabular data. Opens cleanly in Excel, Google Sheets, Numbers, and any database importer.
- JSON is also available for tabular data if you prefer (request format on export).
- ZIP for photo bundles. Organized into folders by job ID with a top-level manifest CSV.
- PDF for reports.
- OFX / QBO for accounting exports (compatible with QuickBooks Desktop + Online).
If you need a custom format (XML for a legacy system, proprietary tool format), contact info@roffik.com. We've built one-off export adapters for migration to a dozen other tools — usually completed within 72 hours.
Data ownership policy
To make this unambiguous: we don't own your data. You do. Specifically:
- We never sell your customer data to anyone, for any reason.
- We never use your customer data to train AI models (your data, your privacy).
- If you cancel SalesThumb, your data remains accessible for 90 days for export. After 90 days it's deleted from active systems and from backups within an additional 180 days.
- If you need an extended grace period (acquisition, audit, lawsuit), contact us — we'll accommodate with documentation.
- We respond to data-portability requests in any country with applicable law (GDPR, CCPA, etc.) within the required timeframes.
If any of this isn't satisfactory for your compliance needs, talk to us. We've worked with shops with unusual requirements (PCI compliance, HIPAA-adjacent, government contracts) and we'll meet the standard.
What we keep after you cancel
After 90 days post-cancellation, we keep only:
- Aggregate anonymized usage statistics (no PII).
- Financial records required by US tax law (7-year retention for our own accounting).
- Records required by Stripe / payment processors (separate retention rules).
Nothing personally identifying. Nothing about your customers. Nothing about your business operations.
