The warranty PDF is one of the most-shared documents your shop produces — it goes to every customer, often to their insurance carrier, sometimes to a future buyer of the vehicle. Default templates work, but custom templates make your shop look like a premium operation. Here's how to design them properly.
Step 1 — Pick a template approach
Three approaches:
- Use the default and skin it — change colors, add logo, replace footer text. 10 minutes of work. Good enough for most shops.
- Modify the default layout — add fields, rearrange sections, change typography. 30-60 min. Recommended for shops with strong brand identity.
- Fully custom from scratch — upload your own PDF template with merge fields. Only do this if you have a designer + lawyer on retainer.
Most shops should start with option 2.
Step 2 — Required fields (legal + practical)
Every warranty PDF should include:
- Shop name + address + phone
- Customer name + phone + email
- Vehicle VIN + year/make/model
- Install date
- Service performed (specific product/film/coating + tier)
- Warranty period (e.g. "3 years" or "Lifetime — as defined below")
- Warranty terms (the actual coverage language)
- Exclusions (what's NOT covered)
- Claim process (how to register a claim)
- Tech who performed the install (optional but recommended)
- Photos of the install (optional, but cuts dispute time in half if included)
Settings → Warranty → Template editor lets you toggle each field.
Step 3 — Tier-specific language
Different tiers need different legal language. Common patterns:
### Window tint - Lifetime warranty: "Warranted against fading, peeling, cracking, bubbling, delamination, and adhesive failure for as long as the original purchaser owns the vehicle." Plus exclusions for damage from glass replacement, abrasive cleaners, etc. - 5-year: same but capped at 5 years from install date. - 2-year economy: covers manufacturing defects only; not durability.
### PPF - 10-year manufacturer warranty + lifetime install warranty for XPEL Ultimate Plus, SunTek Reaction, STEK Dynoshield, etc. — be specific about what the manufacturer covers vs what you cover. - Self-healing claims: be careful with language. Don't promise "scratch-proof" — promise "resists scratches up to {N} microns; self-heals within {N} hours at {temperature}".
### Ceramic coating - 5-year coating warranty: must specify the maintenance requirements (annual or semi-annual maintenance wash with specific products). If customer doesn't comply, warranty voids. - 10-year coating warranty: typically requires registration with the coating manufacturer (Gtechniq, Ceramic Pro, Modesta) AND annual maintenance.
### Vinyl wrap - 3M MCS 7-year warranty: only valid if the install uses 3M-certified installer AND the vehicle is registered with 3M. SalesThumb auto-flags MCS-eligible installs.
Talk to a lawyer (or use a template from your film/coating supplier) for exact language. The KB cannot give you legally-binding language.
Step 4 — Branding
Settings → Warranty → Branding. Set:
- Logo: PNG, transparent background, 600px wide. Goes at the top.
- Primary brand color: hex code. Used for section headers + footer accent.
- Footer text: optional tagline + return URL + Instagram handle.
- Signature: optional. Some shops include a scanned signature of the owner. Looks premium.
Step 5 — QR code (recommended)
Add a QR code that, when scanned, opens the customer's online warranty record at salesthumb.com/w/{uuid}. The online record stays current — if you ever update warranty terms, the customer's QR-linked page reflects the latest. Settings → Warranty → QR code → Enable.
Step 6 — Send vs print
Default: PDF emails to customer + saves to their customer record.
Optional: print on-site (some shops include a printed warranty card in the customer's keys or visor). Settings → Warranty → Print → Enable. Requires a connected printer.
Step 7 — Test on a real install
Run a real install through, generate the warranty PDF, read it as if you were the customer. Check for:
- Logo renders clean
- All fields populated correctly (no "[Customer Name]" left as placeholder)
- Legal language reads correctly
- QR code works
- PDF prints at letter size without weird page breaks
